What we see in dental practices

A dental practice is a small business carrying a hospital-sized dependency on uptime. The day runs to a fifteen-minute rhythm, and almost every step of it touches a screen: the practice-management platform reception books from, the imaging software beside the chair, the scanner that only talks to one workstation, the card terminal at the desk. When one of those stops, the appointment book does not politely pause — patients are already in the waiting room.

Most of the practices we meet are not badly run. They have simply grown a stack over a decade, one supplier at a time, and nobody holds the whole picture: which vendor supports what, which licence renews when, which machine the radiography software is actually installed on, whether last night’s backup would restore if anyone tried it. Onboarding is where we fix that. We document the systems, the vendor contacts and the escalation path, then take first-line ownership so your team calls one number rather than working out whose problem it is.

From there it is unglamorous, continuous work: monitoring and patching, endpoint protection, tested backups, access reviews when an associate or nurse joins or leaves, and coordination with your software vendors when something needs their involvement. A single account everyone at the desk uses means no accountability and no clean way to remove access. We move practices to named accounts with role-based permissions, without making the front desk slower.

Backups that have never been restored

A backup job that reports success is not the same as a recoverable practice. We monitor the jobs, test restores and tell you plainly how long a recovery would actually take.

Do you support our specific practice-management software?

We learn and document it at onboarding and become your first point of contact, coordinating with the vendor for anything that requires their involvement.

Would we have to change any of our software?

No. We support the stack you already run. If something is genuinely holding the practice back we will say so and set out the options, but replacing working software is never a condition of being supported.

Can work be done outside surgery hours?

Where it can be planned, yes — patching, migrations and workstation changes are scheduled around your list rather than through it. Faults are handled when they happen.

How do you handle patient data protection?

We implement and document technical and organisational controls: access by role, encryption where appropriate, monitored backups and a defined incident path. Legal interpretation and formal certification should be obtained from qualified specialists.

We have more than one practice. Does that change anything?

It changes the documentation more than the service. Each site gets its own record of systems, devices and vendors, with reporting rolled up so you can see the group and the individual practice.
